What we collect, and what we do with it.

Who we are

Index Clinic Australia Pty Ltd, ABN 51 698 482 996. You can reach us at info@indexclinic.com.au. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What the form collects

Your first name and your email address. If you tell us you are a practitioner, one line saying what you do. If you tell us you are a partner, one line saying who you are with. The form also records which of the three options you chose, the campaign tags in the link you followed, and the site that referred you.

What it does not collect

Nothing clinical. No symptoms, no conditions, no medications, no results and no health interests. Health information is a separate category under the Privacy Act, with stronger protections, and none of it is collected on this site. None of it is asked for, and there is nowhere on the page to enter it.

Why we hold it, and your consent

So we can tell you when you can book, and so we can reply if you are a practitioner or a partner who wants to talk. That is the purpose. The form will not submit until you tick the consent box, and we record that you ticked it. We do not sell your details, and we do not disclose them to anyone outside the providers named below.

Who else handles it

Klaviyo is our email platform. Your first name, your email address, the option you chose and the campaign and referrer tags are stored there. Vercel hosts this site, and the function that receives the form runs in Sydney. Cloudflare sits in front of the domain and handles its DNS and traffic. Google serves the typefaces the page is set in. Each of these acts on our instructions and for no other purpose.

Analytics and advertising

This site runs Google Tag Manager, Google Analytics, and advertising tags for Meta, TikTok, LinkedIn and X. They set cookies in your browser and they see your IP address, your device and browser, and which pages you looked at. If you arrived from an ad, they see that too.

When you join the waitlist, what those tags receive is one fact: that a signup happened, and which of the three options was chosen. They do not receive your name or your email address, hashed or otherwise, and they receive nothing health related. Your browser settings control these cookies, and each platform has its own advertising controls.

Where your information is stored

The providers above are based overseas, principally in the United States, so your information may be stored or handled outside Australia. We take reasonable steps before disclosing personal information to an overseas recipient, and we only use providers that are contractually bound to handle it for us and not for themselves.

Keeping it safe

The form is screened for automated submissions before anything is stored. The key that writes to our email platform is held on the server and never appears in the page. We take reasonable steps to protect what we hold, and no system is beyond risk.

How long we keep it

Until you unsubscribe or ask us to delete it, and no longer than we need it for the purpose above.

A copy, a correction, or getting out

You can ask for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email info@indexclinic.com.au and we will action it and confirm when it is done. Every email we send carries an unsubscribe link, and it works immediately.

Complaints

Tell us first, at info@indexclinic.com.au. If we do not sort it out, the Office of the Australian Information Commissioner at oaic.gov.au handles it from there.

Changes to this policy

If what we do changes, this page changes, and the date at the top changes with it. If a change affects how your details are used, anyone on the waitlist is told before it takes effect.
